Want to automate key management?
Gideon is a Product Marketing Manager at Keycafe, where he helps businesses understand the benefits of a smart key management system.

We’re always looking for ways to make your key management experience smoother and more effective, so we’ve been busy working on some big features for the last several months. Our latest updates introduce four new tools designed to enhance convenience and security. Here’s what’s new:

Offline Key Exchange

The Keycafe system relies on a cloud connection to maintain real-time information, so changes made in the software are reflected instantly at the SmartBox, and vice-versa. Previously, this meant that during internet outages or connectivity issues, offline codes were the only practical option for accessing keys.

With our new Offline Key Exchange feature, keys can be picked up and dropped off as normal, even in low or no-internet scenarios. Key exchanges performed offline will automatically sync to the cloud once a connection is reestablished. This ensures that users can check out keys, even without network connectivity.

Offline Key Exchange is available now on all MS5 and MS4 SmartBoxes - no action is required to activate it.

QR Code User Authentication

QR codes can now be used as a form of user authentication at MS5 SmartBoxes. Full users can find their personal QR code at the top left corner of the Keycafe mobile app. Simply tap the icon to reveal your unique code, as well as your Global SmartBox Code which can be used across all organizations you have access to keys in.

One-time bookings will also now include a QR code in the email or SMS that can be used in place of the booking code.

This feature provides quick and easy access to keys by scanning your code at the MS5 SmartBox camera, adding an extra layer of security and convenience.

Default Authentication Method

Locations now have an option to set a Default Authentication Mode for SmartBoxes, whether it’s a PIN code, QR code, or user badge. This setting only changes the screen with instructions that appears on the SmartBox during user authentication - it does not prevent any method from being used.

The number pad screen is always accessible, no matter which screen is displayed.

Airbnb Integration Co-Host Support

Our Airbnb integration now includes support for co-host accounts, simplifying key management for shared hosting situations. Co-hosts can now use the integration just like a regular host, as long as they have the Full Access or Calendar and Messaging Access permission.
